Executive Board Checklist

A Checklist is always helpful in completing the tasks for the year. Track your progress and check each off as you complete them. The business of the board is everyone’s business.

Has Your PTA Completed These Tasks?

New Exec Board Roster:
If we at Council PTA have not already received the Executive Board Roster for your unit this new fiscal year, then the new president should send in the roster. We require a complete board roster, but the most important names and addresses that the council needs to keep on file are those of the President, Secretary and Treasurer. If at any time you have a change in your board roster, please contact us.

Even if your PTA has not purchased PTAEZ your board has access to two (2) features – Officer/Board Member Contact and Document Manager. With these two features you can maintain a current list of officers – who will then receive news via email from Council, District, State and National PTA and you can upload the documents that PTA requires to be on file for all PTAs.

Year end audit:
The fiscal year end for most PTAs is June 30 and the audit should be completed by the outgoing Unit Auditor. Audits should be completed as soon as possible during the summer months to allow for the incoming treasurer to get started with the most recent year’s records. When your audit is complete, please send a copy to us.

Annual Financial Report:
The Treasurer is responsible for completing the Annual Financial Report. This report is available in your PTA Toolkit. When your annual financial report is complete, please send a copy to us.

Check Signing Authority:
You must visit your bank during the summer to complete new bank authorization signature cards based on your incoming board. Check your Bylaws, Article VI Section 6 (f) to determine who can and cannot sign checks. You must have two signatures on all checks. You will need to bring a copy of your PTA/PTSA minutes where the signers are specified.

During the summer months, the incoming president should plan to meet with the new treasurer and Budget Committee to develop a proposed budget for the year. When your budget is complete, please send a copy to us.

Training Opportunities

PTA Boot Camp

PTA Boot Camp

PTA Basic Training.  Start your new year off by attending a course on the basics of non-profit operations. Training includes a general knowledge of what PTA means, how meetings are conducted, and what your role is which will help you have a smooth year, leaving you with more time to enjoy the fun things about PTA. Your PTA board members are encouraged to attend as a group.

Two sessions are available:
Thursday, April 25, 2019 from 9:00 am to 11:00 am with check-in and snacks from 8:00-9:00 am.
Monday, April 29, 2019 from 6:00 pm to 8:00 pm with check-in and light dinner from 5:00-6:00 pm.
Babysitting will be only be available for the Monday evening session.

Entrenamiento Básico de la PTA. Comience su nuevo año asistiendo a un curso acerca de los conceptos básicos de las operaciones de los grupos sin fines de lucro. Incluye un conocimiento general de lo que significa la PTA, cómo se llevan a cabo las reuniones y cómo es su función y responsibilidades le ayudará a tener un año sin problemas, lo que le permitirá tener más tiempo para disfrutar de las cosas divertidas de la PTA. Se anima a los miembros de la Mesa Directiva de la PTA a asistir como grupo.

Dos sesiones estan disponibles:
El jueves, 25 de abril de 2019 de 9:00 a 11:00am. con registración y refrigerios de 8:00-9:00am.
El lunes 29 de abril de 2019 de 6:00 pm a 8:00 pm con check-in y cena ligera de 5:00-6:00 pm.
El cuidado de los niños solamente estará disponible para la sesión del lunes por la noche.


Youth Mental Health First Aid Training

The Kearny PTSA is sponsoring Youth Mental Health First Aid Training on Saturday, April 13th at Kearny High School Room 301.

Check In starts at 8am with class starting promptly at 8:30am. Training will last until 4pm. Late arrivers and early departers are not eligible to earn the certificate in Youth Mental Health First Aid Training.

The training is run by the San Diego County Office of Education. Breakfast and lunch will be provided. The Cost is $5/person.

Parents, Teachers, Counselors, School Nurses, etc. are encouraged to participate. Participants must be 18 years or older.

Kearny PTSA members will be given priority to the limited number of seats.
